1. How to request deletion
- Open Sunup Mail in Gmail and go to Management/Configuration → System configuration → Disconnect authorization and delete data.
- Verify your account, enter the full email address and confirm deletion. If your login has expired, use the separate deletion verification-code flow. You do not need to re-enable AI, reauthorize Gmail or hold an active subscription.
- Save and check the receipt. Accepted, processing and completed are different states. Closing the dialog does not cancel an accepted request. If acceptance is unconfirmed, check the status or contact support.
If you cannot use the option, contact support@sunupmail.com. We verify account ownership and do not ask you to send Google passwords, authorization tokens or verification codes to support. Enter deletion verification codes only in the Sunup Mail verification interface.
2. What deletion covers
Full account deletion covers that Sunup Mail account and data for all its linked mailboxes in our systems. After acceptance, we stop relevant synchronization, scheduled tasks and AI processing, invalidate corresponding device credentials and login sessions, and prevent old tasks from writing data back.
Background cleanup covers account information, mail copies and caches, AI inputs and outputs, contacts and relationships, categories, rules, notes, projects, task and diagnostic records, and personal subscription and quota settings. Failed cleanup is retried. Used redemption codes are disassociated from the user and recoverable secrets are cleared, while the codes remain non-redeemable.
Deletion concerns data held by Sunup Mail. It does not delete original Gmail messages, drafts or labels. Account deletion does not automatically cancel third-party-managed payment arrangements or issue refunds. If applicable, manage those arrangements separately or contact support.
3. Google authorization
Data cleanup and Google authorization revocation are handled separately. Cloud data cleanup does not wait for successful revocation. If revocation fails, necessary tokens are temporarily retained in encrypted form solely for revocation retries. The system's retry window is limited to seven days; temporarily retained tokens are destroyed after successful revocation or the retry period ends. Tokens are not sent to AI providers.
If manual revocation is required, remove Sunup Mail in Google third-party connections. Check the data-deletion and Google-revocation states separately.
“Completed” on the receipt means both account-data deletion from Sunup Mail's active service systems and the Google authorization revocation workflow have completed. It does not mean all backups, provider records or offline-device copies have been cleared. Complete manual revocation if prompted; do not interpret “accepted” as “completed.”
4. Your browser and other devices
The deletion flow clears the corresponding account's extension caches, snapshots, settings and login credentials from the current browser. Other devices need a version supporting deletion and must connect within the server's deletion-record retention window to recognize deletion and clear local data automatically. Older versions, devices that remain offline and devices that fail to clear automatically require you to clear extension storage or uninstall the extension manually. Files you downloaded are under your control.
Uninstalling the extension, signing out, turning off AI, pausing synchronization or revoking access only on Google's page does not fully delete Sunup Mail cloud data already stored. For full cleanup, use the account-deletion option described here or contact support.
5. Timing and remaining records
We handle deletion requests under applicable law. Clearing different systems and copies may take different amounts of time. Check your receipt or contact support for progress. Acceptance of a request is not the same as removal of every copy.
After processing ends, minimal deletion receipts, internal account identifiers, and email and credential hashes are generally retained for 30 days to track status and prevent old credentials or tasks from being reused. These records do not contain email bodies. Pending requests retain the records necessary to complete processing; the usual receipt period does not cause cleanup to be abandoned.
Backup copies expire through applicable rotation or secure deletion and are restricted to necessary recovery, security or legal purposes while retained. If a restoration includes data for a deleted account, we apply the relevant deletion requests to prevent renewed use in normal service. Data already received by AI providers and necessary security records are handled under the applicable service arrangements, including provider deletion requests where needed. Account deletion does not immediately erase all third-party copies. Information required by law is retained only to the extent needed for that obligation.
Website signup forms, notification emails, support correspondence, and exports or manually downloaded copies we control require separate cleanup. Include them in your deletion request or contact support@sunupmail.com with the relevant email address and records. Deleting a service account does not mean these channels have already been cleared. Emails you received and files you saved are under your control.
